The Team page is where you invite people to your shop, choose their role, set their default pay (drop and backend), fine-tune what each person can see, and remove people who leave. Everyone logs in with their own email, and one person can belong to more than one shop.
Who can do this
| Action | Who |
|---|---|
| Invite people, resend or revoke an invite | Owner or Manager |
| Change someone’s role | Owner only |
| Turn individual permissions on or off | Owner only |
| Remove someone from the shop | Owner only |
| Set someone’s default pay | Owner, plus Managers and Admins who can see financials |
The Free plan includes 2 team members (pending invites count toward that). Paid plans have unlimited team members.
The roles
| Role | What it’s for and what it sees by default |
|---|---|
| Owner | Full access to everything, including billing, pay and the team. Only the Owner can buy or change a plan, change roles, remove members and edit permissions. |
| Manager | Runs the shop day to day. Sees all claims, the Activity feed and financials, can assign crew and tasks, invite people and edit shop settings. |
| Admin | Office admin. Sees all claims, Activity and financials, can assign crew and tasks and clear cars for payroll. Cannot invite people or edit shop settings. |
| Front desk | Sees all claims and the Activity feed and can assign crew and tasks. Does not see dollar amounts unless the Owner turns that on. |
| Sales rep | Sees the cars they are on or entered themselves. No dollar amounts, no Activity feed, no Team or Billing pages. Sees their own pay. |
| Technician | Same as Sales rep: their own cars, their own pay, no Team or Billing pages. |
Nobody can be invited as an Owner. To add a second owner, invite them with another role and then change their role to Owner.
Steps
Invite a teammate
- In the left menu, click Team.
- In the Invite a teammate box, type their Email.
- Choose their Role: Manager, Technician, Sales rep, Front desk or Admin.
- Click Send invite. You’ll see “Invite sent to” their email.
- They get an email with a link to the “Join your shop” page (they can also type the Invite code and click Find my shop). They see the shop name and their role, fill in First name, Last name, Phone number and a password, confirm their email with a 6-digit code if asked (Email me a code), tick the Terms box and click Join shop.
Pending invites show in the list as Invited. Click Resend to send a fresh link (the old link stops working) or Revoke to cancel it.
Set someone’s default pay
- On the Team page, find the person and click Pay.
- Tick Gets a drop if they get a flat advance per car, and enter the Drop $ amount. Leave it unticked for backend-only people.
- Under Backend, choose % of gross and enter the percent, or choose Flat $ and enter the amount.
- Click Save. The row now shows a summary such as “$200 drop · 10% backend”.
New claims use these rates. Changing the rate on a single claim still wins over the default.
Change what one person can see (Owner)
- Click Permissions next to the person.
- For each of the four permissions, choose Role default, Always on or Always off:
- See all claims: when off, they only see cars they’re assigned to or entered themselves.
- See financials: dollar amounts such as payroll, finance, the leaderboard and storm P&L.
- Activity feed: the shop-wide Activity page.
- Assign crew & tasks: changing who’s on a car or a task.
- The change saves right away. Each permission shows On or Off so you can see the result.
Change someone’s role (Owner)
- Use the role dropdown on the person’s row and pick the new role.
- Confirm with Change role. What they can see changes as soon as they open another page.
Remove someone (Owner)
- Click Remove on the person’s row.
- Confirm with Remove from shop.
They lose access right away. Their claims, task history and pay records are kept. To bring them back, invite the same email again. Tick Show removed members to see people you’ve removed.
Good to know
- Invite links expire after 14 days. Use Resend to send a new one.
- A shop must always have at least one active Owner, so the last Owner cannot be removed or demoted.
- If you hit the Free plan’s member limit, the invite box offers to show you the paid plans.
- You can set shop-wide starting rates for new salespeople and techs under Settings > Default pay rates.
- The phone app’s Team tab can also send invites, change roles, set default pay and remove people. Per-person permissions are set on the web.
