Dent Shop Manager is set up on the web at app.dentshopmanager.com. You create your shop account there once, fill in your shop profile so your paperwork prints correctly, and then your team can log in on the web or on the phone app. The phone app is login only: new shops are always created on the web.
Who can do this
- Creating the shop: anyone signing up becomes the shop Owner. Every new shop starts on the Free plan.
- Shop settings, fee schedule and logo: the Owner or a Manager. Other roles see the settings but cannot change them.
- Fee amounts and default pay rates: only members who can see financials (the Owner always can).
- Contract wording: the Owner only.
Steps
1. Create your account
- Go to app.dentshopmanager.com/signup.
- On “What’s your shop called?”, type your Shop name and click Continue.
- On “Your name”, enter your First name and Last name and click Continue. You are set up as the shop owner.
- On “Add your email”, enter your Email address, tick the box to agree to the Terms & Conditions and Privacy Policy, and click Send code.
- Check your inbox for a 6-digit code (it can take a minute, so check spam or junk too). Type it in and click Verify. If it doesn’t arrive, click Resend code.
- On “Create a password”, type a password of at least 8 characters, type it again under Confirm password, and click Create account.
- On the “You’re all set” screen, click Go to dashboard.
2. Fill in your shop profile
- In the left menu, click Settings. The page is called Shop settings.
- Fill in the shop fields: Shop name, Phone, Email, Shop address, Mailing address for payments (only if it’s different from the shop address), Tax ID / EIN, Point of contact, Contact phone and Review link (your Google or Facebook review page, used by the “Ask for Review” customer email).
- Click Save. You’ll see “Saved, your call scripts will use these details.”
3. Set your repair contract fees
These print in the terms of the Repair Authorization.
- On the same page, under Repair contract fees, fill in Withdrawal admin fee ($), Lot fee ($), Storage per day ($) and Estimate fee ($).
- Leave a fee at 0 if you want the form to print a blank line you can fill in by hand.
- Click Save.
4. Set your posted fee schedule
Your retail rates print on the fee schedule you post at the counter and in the rate table of the insurance adjuster packet.
- Under Posted fee schedule, fill in the rates you charge: Custom PDR labor ($/hr), Aluminum / HSS surcharge, low (%) and high (%), Body labor ($/hr), Mechanical labor ($/hr), Paint labor ($/hr), Paint supplies & materials ($/hr), Diagnostic scan ($ per scan) and ADAS sublet markup (%). Leave a rate at 0 to leave it off.
- Click Save first, then click Print fee schedule (PDF). The printout uses your saved rates.
5. Set default pay rates (optional)
- Under Default pay rates, fill in Sales drop ($), Sales backend (%), Tech drop ($) and Tech backend (%).
- Click Save. These are applied automatically when a new salesperson or tech joins. You can still change any one person’s rate on the Team page, and any single claim’s payout on the claim.
6. Upload your logo
- Scroll to Shop logo and click Upload logo (or Replace if you already have one).
- Pick a PNG or JPG up to 2 MB.
7. Adjust your contract wording (Owner, optional)
- Under Contract wording, click Edit terms.
- Edit a term’s title or text, click + Add term to add one, or Remove to delete one. Keep placeholders such as
{shop}and{withdrawalFee}; they fill in automatically when the form prints. - Click Save wording. To go back to the standard wording later, click Reset to standard.
8. Get the phone app
- On your phone, open the App Store (iPhone) or Google Play (Android) and install Dent Shop Manager. The download links are also on dentshopmanager.com/download.
- Open the app and tap Log in to your shop, then use the same email and password you use on the web.
9. Set your notifications and your profile
Every member can do this for themselves, whatever their role.
- In Settings, the Notifications card is at the top. Turn Browser notifications on to get pushes on this computer even when the tab is closed (your browser asks for permission).
- Turn each kind of notification On or Off: Workflow (status changes, assignments, tasks), Payroll (payments in, cleared cars, payouts), Rentals (due-back alerts) and General (team changes and everything else). Each switch saves right away.
- Turn on Quiet hours to stop pushes overnight, then set From and Until (it starts at 10:00 PM to 7:00 AM, your local time). Anything that happens meanwhile still shows in Activity.
- These choices apply to every device you’re signed in on, including your phone.
- Under Your profile, change Your name or Phone and click Save profile. You’ll see “Profile saved.”
- To change your password, fill in Current password, New password (at least 8 characters) and Confirm new password, then click Change password.
Good to know
- Documents (repair authorization, invoices, packets and so on) will not generate until the shop profile has a phone, email, shop address and Tax ID / EIN. If one is missing, the app tells you exactly which field to fill in.
- The standard contract wording is state-neutral. If your attorney adapts it for your state, save the adapted version under Contract wording and every new form uses it.
- In Settings you can also download a filled-in W-9 (PDF), replay the welcome tour with Replay welcome tour, and change your own name, phone and password under Your profile.
- The Owner can click Load demo data to fill the shop with a sample team, cars, payroll and storms for demos, and Clear demo data to remove it. It only touches demo records.
- If you belong to more than one shop, click your shop card at the top of the left menu to switch shops.
